👋 Introduction
Thomtex School is a mobile app for school uniforms, accessories, parent and teacher discussions, customer support, and eligible customer orders. This policy explains what personal information we collect, how we use it, and your rights.
By using the app, you agree to this policy. Contact us with any concerns before using the app.
📋 Information We Collect
We collect only what is needed to run the app, support customers, and process eligible orders:
- Google account profile: Your Google display name, email address, profile photo, and Firebase user ID when you sign in with Google.
- Profile details: Name, phone number, birthday, delivery address, occupation, account role, pricing tier, verification status, and profile update timestamps.
- Teacher or school details: School name, sport day month, number of students, and manager notes for verified teacher or school accounts.
- Order and payment data: Products, variants, sizes, quantities, prices, promotions, customer phone number, delivery address, payment method, payment reference, payment status, and timestamps.
- Design artwork: Images you choose to attach to an eligible order, such as school badges, sublimation designs, or custom artwork.
- Payment receipts: Images you choose to upload as proof of a QR or bank transfer payment. Payments are checked manually before an order is processed.
- Hub and discussion data: Community posts, comments, likes, author name, author ID, category, and timestamps.
- Calendar data: Private calendar notes you create, plus their dates and update timestamps.
- Helpline data: Support messages, sender name, sender ID, phone or email where available, unread counts, and timestamps.
- Device token: Your FCM (Firebase Cloud Messaging) token, used to send order, helpline, and general app notifications.
We do not collect payment card details, GPS location, contacts, biometric data, or photos you have not explicitly selected for an order or payment receipt.
🔧 How We Use Your Information
- Create and authenticate your account using Google Sign-In and Firebase Authentication
- Display the correct pricing and available checkout options for your account type and verification status
- Review submitted payment receipts, process eligible payments, prepare orders, and arrange delivery
- Use artwork you attach only to prepare and fulfil the related custom order
- Support teacher and school account verification
- Let users view, create, and reply to Hub discussions and comments
- Let signed-in users save private calendar notes
- Let users contact us through the in-app helpline
- Send push notifications for orders, helpline replies, announcements, and important app updates
- Publish product announcements, delivery notes, and community updates
- Improve the app's performance and fix issues
☁️ Data Storage — Firebase
App data is stored on Google Firebase, including Firebase Authentication, Cloud Firestore, Cloud Storage, Cloud Messaging, and Cloud Functions. Firebase runs on Google Cloud infrastructure. Firebase applies encryption at rest and TLS in transit.

🔗 Data Sharing
We do not sell your personal data. Your information is only shared with:
- Google Firebase: Our infrastructure and authentication provider.
- Our staff and managers: To process orders, verify eligible teacher or school accounts, answer helpline messages, and manage app content.
- Legal authorities: Only if required by applicable law or a valid legal process.
🔔 Push Notifications (FCM)
We use Firebase Cloud Messaging to send order updates, helpline replies, delivery notices, announcements, and important app notifications to your Android device. Your FCM token is stored in our database and refreshed automatically. Stale or invalid tokens may be removed automatically.
You can turn off notifications at any time under Settings → Apps → Thomtex School → Notifications on your device.
👦 Children's Privacy
The app is intended for adults, including parents, teachers, school staff, and retail buyers. We do not market directly to children under 13. If a parent or teacher uses the app on behalf of a student, only the adult user's account information is collected.
✋ Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate information
- Request deletion of your account and associated personal data
- Withdraw consent at any time
You can delete your app account from the Account page. Account deletion removes your profile, private calendar notes, helpline conversation, and your own Hub comments. Past orders are anonymized and some transaction records or uploaded order files may be retained where needed for fulfilment, accounting, dispute handling, fraud prevention, or legal compliance. You may also request deletion or review by email.
🔄 Policy Updates
We may update this policy from time to time. The "Last updated" date above will reflect any changes. Significant updates will also be announced via in-app notification. Continued use of the app after changes constitutes your acceptance.
